Administrative Assistant – Healthcare Patient Services

About the role

This position supports a leading healthcare organization by managing patient intake and ensuring a smooth start to each patient’s journey. You will work directly with patients, clinical staff, and administrative teams to uphold privacy standards and contribute to the financial health of the service.

Key responsibilities

• Complete patient admission and intake in line with established policies.
• Obtain and accurately document deductibles, co‑payments, and deposits.
• Collect required signatures and manage patient belongings per departmental guidelines.
• Scan and upload documentation into electronic systems before shift end.
• Use online systems to gather insurance and demographic information.
• Prioritize tasks during peak periods to enhance service, efficiency, and financial outcomes.
• Maintain cooperative relationships with colleagues, clinical staff, and external partners.
• Distribute the Notice of Privacy Practices in compliance with regulations.
• Participate in departmental meetings, workshops, and training sessions.

Required profile

• Authorized to work in the United States without sponsorship.
• Available to work on a W‑2 basis and during Pacific Time Zone hours.
• Detail‑oriented, compassionate, and able to handle sensitive information professionally.
• Strong organizational skills and ability to prioritize tasks effectively.
