About the role
The Administrative Assistant will be the first point of contact for clients, visitors and partners of MultiGla Strategies, ensuring a professional and welcoming experience across all interactions. This role combines front‑desk duties, general office support, insurance administration, and event logistics.
Key responsibilities
- Manage the front desk: greet visitors, answer phone calls in English and Spanish, handle mail and packages, and coordinate office appointments.
- Provide comprehensive administrative support: accurate data entry into internal systems and CRM, digitize and file documents, prepare and distribute materials, manage email correspondence, and oversee office supply inventory.
- Assist with Workers' Compensation and General Liability insurance: gather information for quotes, maintain policy files, track renewals and payments, act as liaison between clients and insurers, and support initial claim processing.
- Support marketing and advertising events: help plan and execute on‑site events, represent the company professionally, distribute promotional items, register attendees, and handle post‑event documentation.
Required profile
- Bilingual proficiency in English and Spanish with excellent verbal and written communication skills.
- Strong organizational abilities and attention to detail.
- Professional demeanor and a customer‑service mindset.
- Ability to multitask and prioritize in a fast‑paced environment.
Required skills
- Experience with CRM systems.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Accurate data‑entry and document‑management capabilities.
