Surgery Scheduler 2 (Hybrid)

About the role

The Department of Neurological Surgery at the University of Miami seeks a full‑time Surgery Scheduler 2 to work in a hybrid setting. The Scheduler serves as the primary liaison among patients, physicians, and professional staff, ensuring seamless coordination of surgical and diagnostic procedures.

Key responsibilities

• Obtain pre‑authorizations from insurance companies as required.
• Produce, oversee, and distribute surgical and procedural schedules to physicians and relevant departments.
• Collaborate with patients, families, and providers to schedule surgeries, pre‑op physicals, and testing.
• Coordinate special cases with hospitals and external vendors.
• Identify and suggest process improvements for surgical scheduling.
• Maintain electronic scheduling tools, troubleshoot issues promptly, and ensure accurate billing documentation.
• Post procedures into JMH Miracle System and/or UMH system, manage consents, and ensure medical records are uploaded to EPIC (UChart).
• Facilitate pre‑op clearance, communicate with primary care providers, and compile required documentation for medical clearance.

Required profile

• Experience in surgical or medical scheduling within a hospital or academic setting.
• Strong knowledge of insurance pre‑authorization processes.
• Ability to coordinate multiple stakeholders and manage detailed documentation.
• Familiarity with university and unit‑level policies and safeguarding of assets.

Required skills

• Workday (internal HR and scheduling platform).
• EPIC (UChart) electronic health record system.
• JMH Miracle System and UMH system for procedure posting.
• Proficiency with standard scheduling software and electronic documentation tools.
