Student Records Specialist

About the role

The Student Records Specialist supports the Washington Elementary School District by maintaining accurate student records, ensuring compliance with state regulations, and providing guidance to school office staff. This full‑time position works closely with the Student Data Manager and other district personnel.

Key responsibilities

• Oversee maintenance of inactive student records, ensuring legal compliance and developing standard procedures.
• Train school office staff on record‑keeping policies and distribute procedural guidelines.
• Audit records at multiple sites and respond to staff inquiries.
• Develop and manage the district’s budget for student records, including purchase requisitions and equipment maintenance.
• Coordinate the archiving, microfilming, and destruction of permanent record cards and health cards.
• Process record requests, advise schools on filing requirements, and liaise with external agencies.
• Assist in the development and management of the online student record‑keeping system.

Required profile

• Entry‑level candidate with up to two years of relevant experience.
• Strong attention to detail and ability to follow regulatory guidelines.
• Excellent organizational and communication skills.
• Ability to work independently under general direction.
