Student Records Specialist

About the role

The Student Records Specialist supports the district by maintaining accurate student records, ensuring compliance with state regulations, and providing guidance to school office staff. Working under general direction, the role is essential for the integrity of student data and the smooth operation of school administration.

Key responsibilities

• Oversee maintenance of inactive student records, ensuring legal compliance and developing standard procedures.
• Train and support school office staff on record‑keeping policies and audit records as needed.
• Manage the budget for student records, process purchase requisitions, and coordinate equipment maintenance.
• Verify and update student information in the district database, assist parents and staff with required paperwork, and track pending items.
• Archive, microfilm, and securely destroy old records in accordance with district and state guidelines.
• Process record requests, advise schools on filing requirements, and collaborate with external agencies to meet Arizona Department of Education standards.
• Assist in the development and management of the district’s online student record‑keeping system.

Required profile

• Entry‑level qualification with up to two years of related experience.
• Strong attention to detail and ability to follow established procedures.
• Excellent organizational skills and the ability to manage multiple tasks simultaneously.
• Effective communication skills for interacting with staff, parents, and external agencies.
