Assistant, Creative Synch

About the role

The Creative Synch team in New York is seeking an Assistant to provide high‑level administrative and operational support. You will help keep daily workflows smooth, track pitches and assets accurately, and coordinate activities across internal teams and external partners.

Key responsibilities

• Manage calendars, schedule meetings, and support team planning.
• Take, organise, and distribute meeting notes as needed.
• Assist with the management, organisation, and delivery of audio assets, ensuring timely completion of requests.
• Maintain global team assets, shared resources, and the synch contacts database.
• Support tour schedules, event invitations, ticketing, and RSVPs for assigned markets.
• Create and distribute Creative Synch newsletters and digital communications.
• Generate data reports and extract information from internal systems.
• Maintain accurate records of synch pitches, submissions, and deals in Kobalt’s internal database.
• Prepare and submit expense reports for senior Creative Synch executives.
• Provide general operational and administrative assistance to senior team members.

Required profile

• Previous administrative experience, preferably supporting senior‑level executives.
• Familiarity with the music industry, recorded music or music publishing is a plus.
• Highly organised, detail‑oriented and able to juggle multiple priorities.
• Proactive, collaborative, resourceful with sound judgement and professionalism.
• Excellent written and verbal communication skills.
• Comfortable in a fast‑paced, high‑volume environment and able to maintain confidentiality.
