About the role
This temporary, full‑time position supports executive leadership at a higher‑education organization in Philadelphia. You will work onsite five days a week, providing comprehensive administrative assistance while gaining experience in a fast‑paced, mission‑driven environment.
Key responsibilities
- Manage executive calendars, schedule meetings, travel, and prepare related materials.
- Handle visitor reception, phone calls, mail distribution, and maintain organized records and files.
- Submit and track work orders for facilities, IT, and office operations.
- Process invoices, budget documents, and adjustments to monitor departmental expenditures.
- Oversee office supply inventory, coordinate purchasing, and support meeting and event logistics.
- Respond to basic inquiries, manage data in CRM platforms, and coordinate student or work‑study support activities.
Required profile
- At least 1 year of experience in an administrative role.
- Strong attention to detail and exceptional organizational abilities.
- Ability to multitask, prioritize competing deadlines, and thrive in a collaborative team.
- Quick learner who adapts to a fast‑moving environment.
Required skills
- Proficiency with Microsoft Office Suite.
What we offer
- Fixed‑term contract of approximately four months.
- 36‑hour work week (Monday‑Thursday, 8:00‑17:30).
- Hourly rate up to $20, based on experience.
