Accounts Payable Specialist

About the role

The Accounts Payable Specialist ensures that vendor invoices are processed accurately and on time, from receipt through payment. Working within a close‑knit finance team, you will match invoices to supporting documents, code them correctly, and maintain audit‑ready records while communicating with vendors to resolve any issues.

Key responsibilities

• Receive, sort, and validate incoming vendor invoices, both physical and electronic.
• Match invoices to purchase orders, contracts, and receipt confirmations (three‑way match).
• Enter invoice details into Bill.com and NetSuite, including line items, amounts, GL codes, and department allocations.
• Verify entries to prevent errors, miscoding, or duplicate payments.
• Communicate with vendors to research and resolve discrepancies or missing information.
• Prepare and process payments in line with approved terms and workflow approvals.
• Maintain organized records and provide documentation for internal and external audits.

Required profile

• High school diploma required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
• 1–3+ years of experience in accounts payable or general accounting.
• Experience performing three‑way invoice matching and GL coding.
• Strong attention to detail and ability to manage multiple invoices under tight deadlines.
• Effective written and verbal communication skills for vendor interaction.
