Patient Service Representative – Gastroenterology

About the role

The Patient Service Representative is the first point of contact for gastroenterology patients, providing exceptional customer service and supporting smooth front‑desk operations within a collaborative, physician‑led team.

Key responsibilities

• Greet and check‑in patients, manage check‑out and appointment scheduling.
• Answer a multi‑line phone system, take messages, and make outbound calls to confirm appointments.
• Collect co‑payments, issue receipts and reconcile daily financial transactions.
• Maintain accurate patient demographics, insurance verification and emergency contacts in EPIC.
• Coordinate provider schedules to optimize appointment availability and reduce wait times.
• Monitor patient wait times, communicate delays with empathy and ensure a welcoming lobby environment.

Required profile

• High school diploma or equivalent.
• Minimum 1 year experience in a medical office or clinical setting; receptionist experience preferred.
• Strong customer‑service orientation and excellent verbal and written communication.
• Ability to handle sensitive information in compliance with HIPAA.
• Physical ability to sit, stand, walk and bend for extended periods; vision correctable to 20/20.

Required skills

• Proficiency with EPIC or a similar EMR system.
• Microsoft Office Suite – Excel, Word, Outlook.
• Operation of a multi‑line phone system and basic IT tools.
