Executive Assistant (Restaurant & Catering)

About the role

We are looking for an Executive Assistant to support a family‑run Asian fusion restaurant with two locations, a boba shop, and a growing catering operation in Los Angeles. You will keep daily operations running smoothly, handle client communications, and help promote our catering services.

Key responsibilities

• Respond to catering inquiries and manage client communications from initial contact through event confirmation.
• Coordinate with the chef, director of operations, and restaurant team to ensure catering events are fully prepared.
• Conduct outreach to local schools, churches, and community organizations to promote catering services.
• Draft marketing copy, outreach emails, and promotional materials for team review.
• Match incoming invoices against shipment records and flag any discrepancies.
• Maintain and update the events calendar, keeping all team members informed of upcoming bookings and deadlines.
• Provide day‑to‑day admin support, including email management, document organization, mail sorting, and ad‑hoc requests.

Required profile

• Proactive and able to juggle multiple tasks without letting anything fall through the cracks.
• Comfortable drafting client emails, organizing event timelines, and tracking invoice issues.
• Clear, professional communication skills; able to represent the business in writing.
• Detail‑oriented and aligned with the company’s SCORE values.

Required skills

• Familiarity with CRM tools.
• Experience with Notion.
• Proficiency in Google Workspace.
