Reservations Coordinator – Remote Hospitality Role

About the role

Callicoon Hills, a boutique hotel and event venue in the Catskills, is seeking a Reservations Coordinator to manage all reservation activities remotely. The role blends hospitality instincts with precise administrative work to ensure a seamless guest experience for individual travelers, groups, and event attendees.

Key responsibilities

• Handle day‑to‑day reservation tasks: new bookings, modifications, cancellations, confirmations, and guest inquiries.
• Coordinate group room blocks, maintain guest lists, and manage rooming lists through cut‑off dates.
• Process refunds, billing adjustments, and reservation corrections accurately.
• Support lodging logistics for weddings, corporate retreats, and other on‑property events.
• Serve as the communication bridge between remote reservation activity and the on‑site team, ensuring special requests and arrival notes are captured.
• Maintain clean, accurate records in the hotel’s reservation and property‑management systems.
• Conduct pre‑arrival guest communications and troubleshoot reservation issues proactively.

Required profile

• Hands‑on hospitality experience, preferably in boutique hotels, resorts, or independent properties.
• Familiarity with group room blocks, event lodging, or wedding/retreat coordination.
• Ability to work independently in a remote setting while staying closely connected to the on‑site team.
• Strong written communication with a polished, guest‑facing tone.
• Highly organized, detail‑oriented, and able to juggle multiple requests simultaneously.
