Records Clerk / Case Manager Assistant

About the role

J&Y Law, a growing plaintiff personal injury and elder abuse firm, is seeking a highly organized Records Clerk / Case Manager Assistant to support its Personal Injury department remotely as an Independent Contractor. The role focuses on efficient records management and client communication to keep cases moving through the pre‑litigation process.

Key responsibilities

• Request, follow up, and obtain medical records, bills, police reports, photos, videos, insurance documents and other case‑related materials.
• Upload, organize, and properly name all documents in Litify, maintaining organized electronic case files and tracking outstanding requests.
• Support assigned Case Managers with daily administrative tasks, updating client, provider, insurance and treatment information in Litify, and notifying managers when records are received.
• Communicate with clients regarding treatment updates, appointments, missing documentation, authorizations and case status, documenting all interactions in Litify.
• Review incoming mail, faxes and electronic documents, scan and upload them to appropriate case files, and maintain department tracking logs.

Required profile

• Previous experience in a personal injury law firm as a Records Clerk, Case Manager Assistant, Legal Assistant or similar role preferred.
• Strong organizational skills, exceptional attention to detail and ability to manage multiple priorities independently.
• Excellent written and verbal English communication skills and strong customer‑service/follow‑up abilities.
• Reliable high‑speed internet connection, dedicated remote workspace, computer, headset and ability to work full‑time during Pacific Time business hours.

Required skills

• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Experience with Litify or other legal case‑management software.
