About the role
The Receptionist will be the first point of contact for clients, guests, and employees entering the main lobby of our New York office. Working within the Office Operations Team, you will ensure a welcoming environment and smooth coordination of meeting logistics.
Key responsibilities
- Greet and log visiting attorneys, personnel, and guests, notifying IT and Office Services as needed.
- Answer telephone calls for attorneys, business professionals, and clients, directing callers or routing to voicemail.
- Escort guests to conference rooms and manage visitor badge logs.
- Schedule and maintain reservation details for conference rooms using EMS.
- Coordinate with Conference Services, Office Services, and IT to ensure meetings run smoothly, including catering and AV/IT equipment.
- Assist visitors with local transportation needs and provide wireless guest passwords.
- Maintain a neat, orderly, and secure reception area.
Required profile
- Bachelor’s degree.
- Prior hospitality, customer‑service, receptionist or concierge experience.
- Previous experience in a law‑firm environment is preferred.
- Professional, cooperative, and tactful demeanor with clear speaking voice.
- Detail‑oriented, punctual, and able to handle confidential information.
Required skills
- Proficiency in Microsoft Outlook.
- Experience with iManage.
- Experience with EMS (Enterprise Management System).
- Ability to make international and long‑distance calls.
