Purchasing Agent

About the role

The Purchasing Agent is responsible for managing the full Purchase Order lifecycle across Upchurch’s building‑engineering divisions (mechanical, plumbing, electrical). The role standardises intake, buying, expediting, receiving and 3‑way match to ensure materials arrive at the right place, at the right time, and at the right price while maintaining clean documentation for audit readiness.

Key responsibilities

• Convert approved requisitions into accurate POs with correct job, cost and tax codes.
• Validate quotes, unit pricing, freight terms and attach vendor confirmations.
• Enforce Upchurch’s PO SOP and spend‑approval matrix.
• Maintain preferred supplier lists, pricing agreements and run RFQs, negotiate terms and recommend awards.
• Complete vendor onboarding (W9, COI, credit, lien waivers, safety documents).
• Monitor PO status, expedite backorders, coordinate shipments and publish weekly Open PO logs.
• Capture receiving documentation, perform 2/3‑way match and resolve price variances.
• Partner with AP on invoice holds, tax issues and month‑end accruals.
• Maintain item masters, catalogs, units of measure and vendor cards.
• Track KPIs (cycle time, on‑time delivery, price variance) and produce dashboards for leadership.
• Apply purchasing policies, support safety/quality goals and ensure warranty registration.

Required profile

• Minimum 3 years of experience in purchasing or procurement.
• Proven ability to manage end‑to‑end PO processes in a construction or building‑services environment.
• Experience negotiating with vendors, running RFQs and maintaining supplier relationships.
• Familiarity with accounts‑payable coordination and month‑end financial processes.
• Strong attention to detail for documentation, compliance and audit readiness.
