Patient Care Coordinator – Lead Conversion

About the role

The practice seeks a senior Patient Care Coordinator to act as the first point of contact for prospective patients, combining consultative sales expertise with exceptional communication and service.

Key responsibilities

• Respond to new patient inquiries via phone, text, email, web forms and social media during scheduled hours.
• Manage all incoming leads in GoHighLevel, ensuring timely, consistent communication across channels.
• Lead consultative sales conversations to understand goals, concerns, timelines and budgets.
• Explain aesthetic, regenerative, sexual wellness and hormone treatments clearly and discreetly.
• Present approved fee estimates, address objections and negotiate within practice guidelines.
• Convert qualified inquiries into booked consultations and follow up with unresponsive leads.
• Reactivate past or overdue patients by introducing relevant services.
• Confirm, reschedule or fill cancellations and no‑shows.
• Maintain an accurate GHL pipeline with detailed notes and handoff information for providers.
• Monitor response times, conversion rates and identify improvements to scripts, workflows and automations.

Required profile

• 3+ years of consultative sales experience with high‑end clientele (aesthetics, private healthcare, luxury retail, hospitality or financial services).
• Proven record of meeting or exceeding sales and conversion targets.
• Fluent spoken and written English with excellent conversational skills.
• Ability to work independently, manage a sales pipeline and own lead conversion.
• Availability for a 40‑hour week aligned with Pacific Time, including weekday evenings and weekend hours.

Required skills

• Hands‑on experience with GoHighLevel (or comparable CRM) and its mobile app.
