Operations Specialist

About the role

We are looking for an Operations Specialist to keep our marketing projects organized, on schedule, and properly resourced. Working closely with the Head of Marketing Operations, you will ensure that initiatives move smoothly from planning to delivery.

Key responsibilities

• Track marketing project timelines and deliverables, flagging risks of delay.
• Check in with marketing teams to confirm they have the resources needed.
• Maintain project management systems and workflows so status is always clear.
• Support financial tracking, including budgets, purchase orders, and invoicing.
• Coordinate day‑to‑day activities with external vendors and partners.
• Identify bottlenecks or gaps in processes and raise them to the team.
• Prepare status updates and reports on projects, timelines, and resourcing.
• Answer cross‑functional queries about project status.
• Leverage AI tools to improve efficiency and streamline recurring tasks.

Required profile

• 5+ years of operations experience, preferably in a marketing environment.
• Strong project‑management background with experience using PM tools.
• Highly organized with excellent attention to detail.
• Experience handling budgets, purchase orders, and invoicing.
• Proven ability to manage relationships with external vendors.
• Excellent written and verbal communication skills.
• Ability to juggle multiple projects in a fast‑paced setting.
• Proactive, solutions‑oriented mindset.
• Comfort using AI tools to find efficiencies.

What we offer

• Discretionary performance bonus of 8‑12% of base salary.
• Salary range $75,000‑$110,000 annually.
