Medical Staff Specialist, Clinical Observership Program

About the role

The Medical Staff Specialist supports the UHealth Clinical Observership Program by managing the end‑to‑end administrative workflow for visiting observers. The position ensures that all non‑hands‑on clinical learning experiences are compliant, well‑documented, and smoothly coordinated across multiple departments.

Key responsibilities

• Coordinate intake, review, routing, and approval tracking for observership requests.
• Verify completeness of applicant documentation and follow up on missing items.
• Maintain accurate records, calendars, rosters, and tracking tools in line with departmental standards.
• Facilitate onboarding steps including forms, confidentiality agreements, training confirmations, badge access, and other administrative requirements.
• Communicate program timelines, expectations, and restrictions to applicants, sponsoring departments, and faculty hosts.
• Prepare routine reports on observership volume, processing status, cycle times, and operational trends.

Required profile

• Bachelor’s degree in business administration, healthcare administration, public health, education, or related field (preferred).
• Minimum one year of experience in administrative, healthcare operations, academic program coordination, credentialing, onboarding, or compliance.
• Experience in an academic medical center or hospital environment is preferred.
• No specific certification required; certification in healthcare administration or project coordination is a plus.
