IT Systems and Web Administrator

About the role

A US-based healthcare practice is seeking an IT and Web Systems Administrator to manage, maintain and improve the technical infrastructure that keeps the organization running. This is a broad, hands-on, 100% remote role covering IT systems administration, Zoho platform management, website development and maintenance, healthcare system support, AI tool administration, cybersecurity and vendor management. The role is full-time, paid up to $10 per hour, and requires a strong security mindset and HIPAA compliance because protected health information is handled.

Key responsibilities

• Manage and troubleshoot IT systems, software, email accounts and technical infrastructure, keeping an inventory of accounts, credentials, licenses and vendor access, and managing permissions, MFA and account recovery.
• Administer the Zoho suite (Desk, Cliq, Workplace, Forms, Sheets, People, Campaigns, Sign), create and troubleshoot forms, workflows and automations, and support staff.
• Develop and maintain the website using HTML, CSS and JavaScript, handle hosting, DNS, SSL certificates and CMS, and integrate with Zoho, CRM, scheduling and marketing automation tools.
• Administer approved AI tools (ChatGPT, Claude, Microsoft Copilot, Google Gemini), set company guidelines for their use, and ensure PHI is never entered into an AI platform unless approved.
• Monitor website and system security, coordinate incident response, backups and recovery, and protect confidential information.
• Manage RingCentral accounts, extensions, call routing and voicemail, and support onboarding and offboarding.
• Provide technical support for eClinicalWorks and other practice management systems, insurance payer portals, and referral platforms such as Lyra, ComPsych, Zocdoc and Psychology Today, while complying with HIPAA.
• Maintain social media accounts and monitor online reviews, ensuring public responses do not disclose patient information.
• Keep a central inventory of vendor accounts, subscriptions, billing contacts and renewal dates.

Required profile

• Technically versatile, highly organized and able to work independently in a healthcare environment.
• HIPAA compliance and a strong security mindset are non-negotiable.
• Experience supporting US-based healthcare or medical practices is strongly preferred.
