Insurance Coordinator – HIV Benefits Program

About the role
The Insurance Coordinator supports Washington State’s HIV Insurance Benefits Management Program, administered by Lifelong as the Evergreen Health Insurance Program (EHIP). This full‑time, union‑represented position combines administrative, accounting, reporting and client outreach tasks to keep people living with HIV/AIDS insured and to connect eligible uninsured individuals to coverage. The role is based in Seattle’s Georgetown neighborhood with a hybrid schedule.
Key responsibilities
- Handle interactions with insurance carriers, employers, COBRA administrators and other vendors; process voids, refunds and premium adjustments.
- Maintain logs, reports and client payment records; enter data into accounting and client databases.
- Support incoming insurance applications, manage mail logistics and create electronic client files; process new, discontinued and reinstated applications promptly.
- Track program data, generate reports, respond to data requests from the Program Manager or the Department of Health, and ensure accurate case notes.
- Manage office supplies, mail logistics and record weekly team meeting notes.
- Maintain effective communication with coworkers, partners, vendors and stakeholders; keep vendors informed of account status.
- Deliver culturally appropriate, high‑quality service; respond to complaints and inquiries; protect confidential client information.
- Outreach potential participants and assist them with application coordination.
Required profile
- Knowledge of basic accounting principles.
- Strong organizational and multitasking abilities.
- Detail‑oriented with high accuracy in data handling.
- Proficiency in Microsoft Office Suite (Excel, Access, Word).
- Experience with accounting or financial management systems.
- Ability to maintain confidentiality and provide culturally sensitive service.
