Crewing & Dispatch Coordinator

About the role

The Crewing and Dispatch Coordinator is a crucial member of the Marine Personnel Team, responsible for coordinating crew schedules and strategies to manage crewing efficiently across Curtin Maritime’s fleet. The role involves maintaining long‑term schedules, supporting crew, tracking days worked, time‑off requests and certifications, and improving processes.

Key responsibilities

• Maintain and update crew schedules, ensuring software is current and reflecting last‑minute changes.
• Record vessel movements, fuel burn, crew lists and associated billing information.
• Track employee qualifications, time‑off requests, and ensure proper utilization of personnel.
• Arrange travel logistics for management and crew, including flights, lodging and vehicle rentals.
• Oversee onboarding, orientation and distribution of standard operating procedures for new hires.
• Handle administrative tasks such as credit‑card usage, receipt submission and compliance with travel SOPs.
• Serve as primary non‑emergency point of contact for active crew members and support the marine personnel department as needed.

Required profile

• Ability to acquire and maintain a TWIC and a valid driver’s license.
• Bachelor’s degree or equivalent experience; Maritime Academy graduate preferred.
• Exceptional attention to detail, self‑starter attitude and strong communication skills.
• Capacity to juggle multiple daily tasks and deadlines in a fast‑paced environment.
• Ability to evaluate processes, identify deficiencies and implement improvements.
