Clinical Business Operations Representative – Patient Care Support

About the role

The Clinical Business Operations Representative 1 supports daily clinical operations by managing patient intake, answering multiple phone lines, and ensuring accurate documentation of patient information. Acting as the first point of contact for patients and visitors, the role provides courteous, efficient, and professional service while safeguarding confidentiality.

Key responsibilities

• Obtain and verify patient demographic, insurance, and referral information.
• Review clinical records for completeness, including authorizations and signatures.
• Answer and triage incoming calls, direct inquiries, and document messages in the appropriate system.
• Greet visitors, handle inquiries, and route them to the correct staff member.
• Coordinate day‑to‑day provider activities within the assigned clinical area.
• Maintain clean, well‑stocked exam rooms and ensure computer systems are operational.
• Print appointment arrivals, verify pre‑ordered testing, and secure financial clearance.
• Log patient arrival times and update the EMR portal.
• Room patients, manage exam room turnover, and upload external medical records into the EMR.

• Works cooperatively with colleagues to solve problems and maintain workflow.
• Maintains confidentiality of all patient and organizational information.
• Adheres to university policies, procedures, and asset protection guidelines.

Required skills

• Proficiency with EMR (Electronic Medical Records) systems.
• Experience using UChart software.
• Familiarity with Merge software for imaging.
• Basic computer troubleshooting and rebooting of exam‑room workstations.
