About the role
Reporting to the Senior Wealth Advisor, the Client Coordinator supports the wealth management team by handling scheduling, communications, and administrative workflows. The role serves as the professional first point of contact for clients and ensures the advisory practice runs smoothly in a fast‑paced environment.
Key responsibilities
- Act as primary contact for client calls, emails, and office visits, delivering a welcoming experience.
- Manage advisor calendars, schedule and confirm meetings, and coordinate logistics for in‑person and virtual appointments.
- Prepare meeting materials such as account summaries, agendas, and client documentation.
- Process new account paperwork, maintenance requests, and transfers, ensuring accuracy and timely completion.
- Maintain and update client records in the CRM system and coordinate post‑meeting follow‑up tasks.
- Support office administration, vendor relationships, travel arrangements, and firm events.
- Uphold strict confidentiality and compliance standards when handling sensitive client information.
Required profile
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- 3+ years of experience as an executive assistant, client service coordinator, or administrative professional, preferably in financial services.
- Strong written and verbal communication with a polished, client‑facing demeanor.
- High degree of discretion and professionalism handling confidential information.
Required skills
- Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
- Experience with customer relationship management (CRM) systems.
