Bilingual Virtual Administrator

About the role

A military family-owned, non-medical home care agency in Southern California, serving private-pay clients and veterans through a VA Community Care Network contract, is looking for a proactive bilingual virtual administrator to run its operations and support expansion. The role manages daily operations, ensures compliance with laws and keeps the team and clients informed. It is full-time, remote, Monday to Friday, 9:00 AM to 5:00 PM Pacific Time, 40 hours per week.

Key responsibilities

• Manage Veterans Affairs referrals and emails in line with HIPAA and California home care law
• Manage the main company and information inboxes
• Upload documents to Dropbox and track annual renewals for licenses and taxes
• Use the CRM to track caregiver documents and coordinate with the on-site supervisor
• Update the phone system auto-messages for holidays and promotions
• Stay in daily contact with the team by phone and Zoom

Required profile

• Bilingual in English and Spanish, with C1 or C2 English level
• Deep knowledge of US HIPAA and California home care law
• Full-time availability
• Proactive, critical thinker, team player and strong communicator

• Preferred: experience with veteran or insurance referral programs
• Preferred: experience with a home care or caregiver CRM
• Tools used: SwiftAP (CRM), RingCentral, Dropbox, Zoom
