About the role
We are seeking a temporary Administrative Assistant to support the General Affairs Department of a Japanese government‑related organization in New York. The role combines front‑office duties with executive support, operating in a hybrid schedule of three days onsite and two days remote.
Key responsibilities
- Greet visitors, provide refreshments, and manage reception duties.
- Answer and direct incoming calls and respond to general office email inquiries.
- Provide executive assistance to the Office Director, including calendar management and appointment scheduling.
- Coordinate internal communications, meetings, and visitor arrangements.
- Handle procurement requests, compile reports, and maintain filing systems.
- Perform data entry, manage accounting‑related paperwork, and oversee document approvals.
- Communicate with external vendors, service providers, and building management.
- Manage mailing/shipping, meeting rooms, audiovisual equipment, office supplies, and newspaper subscriptions.
- Support overall office operations and administrative functions as needed.
Required profile
- Professional communication in English and Japanese, both verbally and in writing.
- Service‑oriented mindset with strong attention to detail.
- Ability to adapt to changing priorities and support a wide range of office tasks.
- Excellent organizational, multitasking, and problem‑solving abilities.

- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Familiarity with AI tools such as Microsoft Copilot or similar applications
