About the role
The International Organization for Migration is seeking a Senior Administrative and Human Resources Associate to support its Washington D.C. office. Reporting to the Senior HR Assistant and under the general supervision of the National Human Resources Officer, the incumbent will provide comprehensive administrative and HR services for a one‑year fixed‑term assignment.
Key responsibilities
- Assist in evaluating staffing needs and coordinate recruitment activities, including drafting Terms of Reference, posting vacancy notices, screening applications, preparing interview protocols, and conducting reference checks.
- Manage pre‑employment processes such as entry‑on‑duty documentation, medical examinations, insurance enrollment, induction sessions, and security briefings.
- Maintain and verify HR data in the Oracle HR system, ensuring accuracy of allowances, benefits, contract extensions, and personnel actions.
- Monitor attendance and leave, generate related reports, and guide staff on Oracle leave procedures.
- Prepare documentation for separations, promotions, reclassifications, disciplinary cases, and coordinate with regional offices and Geneva HR management.
- Produce regular personnel reports, draft correspondence, and archive HR documents both electronically and in hard copy.
Required profile
- Relevant experience in administrative and human resources functions, preferably within an international organization.
- Demonstrated ability to manage full recruitment cycles and pre‑employment activities.
- Strong knowledge of HR policies, contract administration, and employee benefits.
- Proficiency in using Oracle HR or comparable HR information systems.
- Excellent written and verbal communication skills in English.
