Program Coordinator III – Year 2 Medical School

About the role

The Program Coordinator III supports Year 2 medical school courses at Saint Louis University, providing essential administrative and operational assistance to faculty, students, and academic leadership. This full‑time position ensures that curricula, examinations, and instructional materials meet accreditation standards and run smoothly.

Key responsibilities

• Maintain centralized oversight of all Year 2 courses, ensuring syllabi, schedules, exams, and instructional materials are accurate and compliant.
• Act as the primary liaison between course directors, faculty, students, and curricular systems such as OASIS and ExamSoft.
• Coordinate room scheduling, exam preparation, proctoring, and post‑exam processing, as well as update the academic calendar and curricular website.
• Manage course and faculty evaluations, compile reports, and distribute findings to department leadership.
• Provide administrative support for the Preclinical Subcommittee, Program Evaluation and Assessment Subcommittee, and other assigned committees.
• Assist with budgeting, invoice processing, payroll, and financial reporting.
• Supervise and train clerical staff, maintain record‑keeping systems, and support instructional technologies including Panopto and audience response systems.

Required profile

• High school diploma and at least five years of relevant administrative or program‑coordination experience.
• Strong knowledge of office procedures, records management, and customer‑service principles.
• Excellent verbal and written communication skills with attention to English grammar and business correspondence.
• Ability to handle confidential information with discretion and maintain reliable attendance.

Required skills

• Proficiency with OASIS curricular system.
• Experience using ExamSoft for examination management.
• Familiarity with Panopto video platform and audience response systems.
• General computer literacy and competence with standard office software applications.
