Program Assistant – Research Support

About the role

The East‑West Center seeks an on‑site Program Assistant to support its Research team for a one‑year limited appointment, with the possibility of extension. The role provides comprehensive administrative and operational assistance to ensure smooth program delivery and compliance.

Key responsibilities

• Prepare program materials, gather information, and summarize data for staff requests.
• Process fiscal forms, purchase orders, travel requests, and other payment documents for Fiscal Officer approval.
• Coordinate logistics for workshops, conferences, and meetings, including registration, venue setup, catering, and travel arrangements.
• Draft and edit correspondence, reports, proposals, and other documents, ensuring accuracy and proper formatting.
• Maintain program files, calendars, and visitor communications, and provide support for virtual events via Zoom or similar platforms.
• Assist with website content updates, social media posts, and the preparation of publications and reports.

Required profile

• High School Diploma or equivalent; four years of full‑time relevant experience (or equivalent education plus experience).
• Demonstrated ability to organize, prioritize, and coordinate a wide variety of tasks independently and collaboratively.
• Strong attention to detail, ability to handle confidential information, and capacity to work under tight deadlines.

Required skills

• Proficiency with Microsoft Office suite (Word, Excel, PowerPoint).
• Experience using Zoom and other virtual meeting platforms.
• Web content management and basic social‑media posting skills.
• Familiarity with database and desktop‑publishing applications.
