About the role
We are looking for a Permit Coordinator to join our team full‑time. The role supports architectural and construction projects in New York City by preparing permit applications, maintaining documentation, and liaising with city agencies and project stakeholders.
Key responsibilities
- Prepare and submit DOB NOW filings, PAA applications, reinstatements, withdrawals and other permit documents.
- Coordinate communication between the team and the New York City Department of Buildings and other government agencies.
- Facilitate interaction among project managers, clients, architects, engineers and authorities.
- Assist clients and partners with online systems, document submissions, payments and permitting procedures.
- Track project progress, provide regular updates and reports to management.
- Maintain accurate project records and ensure documentation is complete and up‑to‑date.
- Provide administrative support to project managers and the business owner.
- Support additional project coordination and administrative tasks as needed.
Required profile
- Excellent organizational skills and strong attention to detail.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong written and verbal communication abilities.
- Comfortable working with documentation, government portals and administrative processes.
- Proactive problem‑solving mindset with consistent follow‑up.
- Independent worker who collaborates effectively with a remote team.
- Professional, reliable and customer‑service oriented.
- Previous experience in permit coordination, construction administration, architecture, engineering or project coordination is a strong advantage.
- Experience with NYC Department of Buildings (DOB NOW) or other NYC permitting systems is a plus.
