Payroll Tax Specialist

About the role

The Payroll Tax Specialist is responsible for ensuring accurate payroll tax processing, reporting, reconciliation, and compliance with federal, state, and local tax regulations. This role serves as the subject matter expert for payroll taxes, supports payroll operations, resolves tax issues, and partners with internal and external stakeholders to maintain compliance and minimize tax‑related risk.

Key responsibilities

• Manage and administer spreading imputed income over several pay periods and calculate payroll gross‑ups.
• Ensure timely and accurate filing of federal, state, and local payroll tax returns.
• Reconcile payroll tax accounts, tax filings, and general ledger accounts.
• Manage year‑end payroll tax activities, including W‑2 preparation and reconciliation.
• Validate payroll tax calculations and withholding accuracy.
• Partner with payroll, HR, Finance, and third‑party vendors to resolve payroll tax issues.
• Participate in payroll system testing, upgrades, implementations, and process improvements.
• Maintain documentation of payroll tax processes, controls, and procedures and assist with audits.

Required profile

• Advanced Excel skills, including VLOOKUP, pivot tables, and complex formulas.
• Proven technical aptitude and strong analytical abilities.
• Experience processing complex US payrolls for multiple business units under tight deadlines.
• Excellent attention to detail and organizational skills.
• Ability to work independently or collaboratively in a constantly changing environment.
