Operations Associate

About the role

ReflexAI is seeking an Operations Associate to keep daily operations running smoothly across hardware inventory, access management, compliance, and financial operations. This hands‑on, detail‑driven role sits at the intersection of IT, compliance, finance, and people ops.

Key responsibilities

• Handle hardware purchasing, setup, shipping, distribution, and repairs while maintaining an accurate asset‑tracking system.
• Monitor compliance deadlines and security certifications (SOC2, HIPAA, HITRUST, ISO27001, ISO42001) and ensure alignment.
• Track accounts payable/receivable, vendor spend, and reinforce timely payments.
• Support additional operational projects as directed by leadership.

Required profile

• 1–3+ years of experience in operations, IT administration, executive support, or a similar generalist role.
• Strong organizational skills with the ability to manage multiple concurrent workflows.
• U.S. citizenship (required for VA contract access).

Required skills

• Experience with expense/card platforms (e.g., SVB, Ramp, Brex).
• Familiarity with asset‑tracking tools and SaaS access management.
• Exposure to compliance frameworks such as SOC2, ISO 27001/42001, HIPAA, GDPR, HITRUST.
