Office Coordinator (Westlake Village & Malibu)

About the role

The Office Coordinator provides a high‑touch level of hospitality while representing the Sotheby’s International Realty brand. In this shared, in‑office position you will support both the Westlake Village and Malibu offices, anticipating and responding to the needs of management, sales associates, clients, vendors and the public. The role combines administrative support, transaction assistance and technology enablement to ensure smooth brokerage operations.

Key responsibilities

• Provide high‑touch hospitality and represent the Sotheby’s International Realty brand.
• Anticipate and respond to the needs of management, sales associates, clients, vendors and the public.
• Deliver administrative support to management and assist with transaction‑related activities.
• Support overall office operations for both the Westlake Village and Malibu locations.
• Help sales associates effectively use company technology platforms and resources.
• Maintain a personable, professional, service‑oriented and collaborative approach.
• Assist with transaction‑related activities to ensure smooth brokerage processes.
• Support sales associates in leveraging emerging AI‑powered business tools.
