About the role

Gilcrease Museum is preparing for a landmark reopening following a transformative expansion. As the Group Sales Coordinator, you will build the museum’s group sales program from the ground up, creating sustainable revenue and increasing visitation. Reporting to the Director of Operations, you will lead business development and collaborate with Visitor Services, Learning and Community Engagement, and Marketing teams to deliver unique, educational experiences for group visitors.

Key responsibilities

  • Design and execute the museum’s group sales strategy across local, national, and international markets.
  • Establish and maintain relationships with travel trade accounts, tour wholesalers, and emerging industry clients.
  • Coordinate all phases of group bookings and contracts, including scheduling, deposits, payments, special requests, and system entry.
  • Represent the museum at industry trade shows, conventions, and relevant events.
  • Collaborate with Visitor Services to organize group bookings, manage traffic flow, and welcome arriving groups.
  • Partner with the School Group Coordinator as a primary point of contact for the internal venue management system, Arti fax.
  • Coordinate with internal departments to manage scheduling and prevent conflicts.
  • Analyze market trends, identify new sales opportunities, and support an optimized visitor experience.
  • Manage assigned accounts, ensuring accurate and efficient financial transactions.
  • Oversee assigned revenue and expense budgets.
  • Align group services and offerings with the museum’s mission while supporting sustainable, profitable group business.
  • Perform all other duties as assigned.

Required profile

  • Bachelor’s degree or at least two years of sales experience, preferably in hospitality, tourism, cultural arts, or related industries.
  • Strong communication, collaboration, organizational, and time‑management skills.
  • Customer‑centric mindset with a commitment to exceptional visitor experiences.
  • Demonstrated financial acumen and ability to manage budgets and revenue goals.
  • Adaptability and comfort working in a fast‑paced, evolving environment.
  • Ability to build and maintain effective relationships with a wide range of internal and external stakeholders.
  • Valid driver’s license and reliable transportation.

Required skills

  • Experience with CRM (Customer Relationship Management) systems.
  • Experience with POS (Point of Sale) systems.
