Exhibitor Service Coordinator

About the role

Rétromobile New York is launching its inaugural U.S. collector car event in November 2026. The Exhibitor Service Coordinator will guide exhibitors from contract signing through on‑site delivery, ensuring a smooth onboarding experience and flawless event execution.

Key responsibilities

• Serve as the primary day‑to‑day contact for exhibitors after contract signature.
• Manage onboarding, follow‑up, and on‑site arrival logistics.
• Administer the exhibitor portal and related participation tools.
• Communicate deadlines, required steps, and documentation to exhibitors.
• Collect, track, and archive forms, insurance documents, logos, copy, and other assets.
• Monitor preparation milestones and proactively follow up on outstanding items.
• Maintain accurate records in CRM and internal tracking tools.
• Liaise with the official general contractor and internal teams on exhibitor needs.
• Prepare exhibitor‑facing timelines, checklists, and support materials.
• Provide welcome support, issue resolution, and on‑site service during move‑in and event days.

Required profile

• 1–3 years of experience in client services, event operations, production coordination, account coordination, or trade‑show delivery.
• Strong organizational and project‑tracking abilities.
• Excellent written and verbal communication skills.
• Comfortable in a client‑facing role and detail‑oriented.
• Experience with online platforms, portals, CRM, or event systems is a plus.
• Event/production experience is a strong plus.
• Fluent in English; additional language is a plus.
• Authorized to work in the United States.
