Virtual Medical Scheduler (Remote)

About the role

Health & Virtuals is seeking a Remote Virtual Medical Scheduler to serve as the first point of contact for patients across multiple clinics. You will manage patient communications, coordinate appointment workflows, and ensure accurate documentation within the electronic health record (EHR) system.

Key responsibilities

• Answer inbound calls, return missed calls and voicemails, and guide patients through scheduling or inquiries.
• Schedule, reschedule, and cancel appointments based on provider availability, managing multi‑provider and multi‑location calendars.
• Coordinate waitlists, recalls, and urgent scheduling needs, and send confirmations, reminders, and preparation instructions.
• Verify patient demographics and basic insurance details, escalating any issues as needed.
• Maintain HIPAA‑compliant notes and communication logs in the EHR and coordinate handoffs with billing, clinical, and admin teams.

Required profile

• Strong phone presence with clear, professional communication.
• Comfortable working with EHR or scheduling platforms.
• Ability to manage multiple dynamic calendars accurately.
• Awareness of HIPAA and data confidentiality practices.
• Organized, detail‑oriented, and able to handle high call volume while maintaining accuracy.
• Calm under pressure, adaptable to real‑time changes, and collaborative with internal teams.
