About the role
We are seeking a part-time Office Manager to oversee the day-to-day operations of our 6,000 sq ft office in Union Square, San Francisco. Working on-site Tuesday to Thursday, you will ensure a smooth, welcoming environment for our multidisciplinary team of environmental designers, engineers and consultants.
Key responsibilities
- Coordinate with cleaning staff, maintenance vendors, IT support and building management to keep the office, conference rooms and workstations clean and functional.
- Serve as the front-desk receptionist, greeting staff, visitors and handling phone calls and mail.
- Maintain office supplies, snacks and beverage stations, and manage grocery, catering and other vendor orders.
- Organise meeting logistics, team-building events, wellbeing activities and staff celebrations.
- Oversee office layout, seating assignments and keep the staff seating chart up to date in partnership with recruiting and IT.
- Assist with local recruiting tasks such as resume review, phone screening, interview scheduling, reference checks, offer letters and onboarding.

- Strong organisational and multitasking abilities in a fast-changing environment.
- Excellent interpersonal skills with a friendly, professional demeanor.
- Experience managing office facilities, vendors and front-desk duties.
- Ability to support basic recruiting and onboarding processes.
Required skills
- Proficiency with standard office equipment and software (e.g., email, calendar, document management).
