About the role
The Meetings Services Assistant supports the Security Council Subsidiary Organs Branch in New York, ensuring that meetings of the Security Council and its subsidiary bodies run smoothly. Reporting to a Senior Political Affairs Officer, the role involves coordinating procedural arrangements, preparing documents, and managing logistical details for high‑level UN meetings.
Key responsibilities
- Organise and coordinate procedural and organisational arrangements for Security Council meetings and subsidiary bodies.
- Draft procedural briefs for the President of the Security Council and its subsidiary bodies.
- Ensure availability and distribution of documents, personnel, and conference facilities according to the meeting schedule.
- Track and download documents using g‑DOCS and ODS.
- Maintain reference material, including resolutions and decisions.
- Report on committee proceedings and prepare daily/weekly programmes.
- Supervise voting and election processes, including tabulation of voting patterns.
- Prepare agenda items, participant lists, and floor plans.
- Maintain a database of meetings and publish daily information.
- Compile monthly statistics on meetings and estimate resource requirements.
- Coordinate speaker attendance and manage delegation positions.
- Research and provide reference material for briefs, notes, and statements.
- Ensure meeting reports meet UN document standards and coordinate reproduction.
Required profile
- Experience coordinating meetings for international or governmental bodies.
- Familiarity with UN procedural rules and document standards.
- Strong organisational and administrative abilities.
- Attention to detail in preparing briefs, reports, and statistical summaries.
- Ability to work under tight deadlines and manage multiple tasks simultaneously.
