Deputy Court Clerk & Short-Term Rental Specialist

About the role

The Deputy Court Clerk provides comprehensive administrative support to the Municipal Court, handling case documentation, communications, and coordination with a variety of city agencies. This full‑time position also manages short‑term rental compliance matters, linking court processes with local regulatory requirements.

Key responsibilities

• Answer incoming calls, emails, voicemails and route inquiries appropriately.
• Process citations, complaints, and related documents; provide defendants with procedural information.
• Maintain and update case files, court records, and filing systems, including status changes and clerk comments.
• Prepare and distribute court notices, courtesy letters, and subpoenas.
• Report outstanding fines to collection agencies, TXDMV, and Omnibase after 60 days.
• Handle failure‑to‑pay, failure‑to‑appear, warrant, and show‑cause notices.
• Assist in docketing, criminal proceedings, and preparation of court correspondence.
• Collect fines via telephone, mail, and reporting systems.
• Coordinate with defendants, defense counsel, city prosecutor, police, jail, and other agencies.
• Translate communications between Spanish and English for judges, defendants, and prosecutors.
• Manage short‑term rental citations, notices, and data tracking in collaboration with city departments.
• Provide administrative support to the Chief Marshal on rental‑related matters.

Required profile

• Strong organizational skills with the ability to maintain accurate records.
• Excellent written and verbal communication, including bilingual Spanish‑English translation.
• Experience interacting with legal professionals, law‑enforcement, and municipal agencies.
• Ability to train and mentor other staff members as needed.
• Detail‑oriented approach to handling fines, warrants, and compliance notices.

Required skills

• Proficiency with Omnibase court case management system.
