About the role
The International Civil Service Commission is seeking an Administrative Assistant to support the Salaries and Allowances Division in New York. The role provides essential administrative, programme and compensation support to ensure smooth operation of salary‑related activities.
Key responsibilities
- Prepare and process official travel arrangements, draft routine correspondence and maintain files of rules, regulations and administrative instructions.
- Manage both paper and electronic work‑unit files, organise space planning, and coordinate logistics for seminars, conferences and translation services.
- Enter, maintain and certify data on time‑attendance, performance appraisals and other HR records in electronic systems.
- Support meetings of the Commission, workshops and external collaborations by preparing background material, taking notes, drafting abstracts and circulating reports.
- Maintain up‑to‑date mailing lists and research salary‑related information for technical reports.
- Calculate salaries, allowances and DSA entitlements, perform preliminary data analysis and assist in the preparation of salary reports.
- Provide statistical support for DSA rate establishment, update the DSA database, prepare circulars and assist survey specialists with data validation and tax calculations.
Required profile
- Professionalism and ability to perform a broad range of administrative, secretarial and programme support functions.
- Knowledge of United Nations administrative procedures and documentation.
