About the role
We are looking for a highly proactive, polished Administrative Assistant to support our Global Marketing & Digital Leadership team. This fast‑paced, visible position requires exceptional judgment, communication, and organizational excellence while maintaining strict confidentiality.
Key responsibilities
- Manage complex, multi‑time‑zone calendars for the Global Marketing & Digital Leadership team, scheduling high‑priority meetings and presentations.
- Act as gatekeeper and liaison, prioritising requests, communications and meeting flow on behalf of the team.
- Prepare, edit and format documents, presentations and correspondence with meticulous attention to brand standards.
- Organise and support key team meetings, leadership off‑sites, creative reviews, agency partner meetings and cross‑functional events, handling agendas, pre‑reads, follow‑ups and action tracking.
- Coordinate domestic and international travel itineraries, agendas and logistics in partnership with the Travel Manager.
- Submit and track expense reports; manage invoices, purchase orders, vendors and budget items alongside Finance.
- Support general administrative duties such as ordering supplies, managing system access requests and onboarding new Marketing/Digital hires.
