About the role
We are looking for a Workshop Lead to own the operations of the Harvard‑MIT AI Safety Workshops, held about eight times a year in Essex, MA. The role will drive the planning, speaker selection, participant recruitment and on‑site execution of these high‑impact events.
Key responsibilities
- Plan and execute the Harvard‑MIT AI Safety Workshops, scaling from 5 to 8 events per academic year, managing venues, catering, transportation and set‑up/tear‑down for ~50 participants.
- Curate and invite speakers from leading AI safety organizations (e.g., Redwood Research, Anthropic, DeepMind) and lead participant selection in partnership with AISST and MAIA.
- Design workshop programming, including session formats, discussion structures and career‑development activities.
- Gather and synthesize feedback to continuously improve workshop quality.
- Identify and launch specialized weekend research workshops with Harvard, MIT and Northeastern partners, handling all logistics and stakeholder coordination.
- Run monthly Cambridge AI Safety and AI‑Biosecurity networking events, curating invitee lists and creating valuable programming.
Required profile
- Mission‑aligned with AI safety and a desire to strengthen the research community.
- Proven experience in event production, program management or similar operational roles.
- Exceptional organization, attention to detail and ability to manage multiple parallel workstreams.
- Strong written communication for outreach to senior researchers and university partners.
- Based in or willing to relocate to the Cambridge‑Boston area.
Required skills
- Experience with event logistics for in‑person gatherings of ~50 people.
- Familiarity with tools such as Airtable and application/review pipelines.
