Wholesale Customer Service Assistant

About the role

We are looking for a detail‑oriented Wholesale Customer Service Assistant to support our wholesale operations. You will act as a liaison between customers, 3PL partners and internal teams, ensuring smooth order processing, returns handling and accurate documentation.

Key responsibilities

• Process credit memos and return authorizations, creating UPS/DHL return labels.
• Maintain weekly damage reports and communicate with 3PLs to resolve shipping issues.
• Send commercial invoices from NetSuite to the Hong Kong warehouse and release orders to 3PL warehouses.
• Upload images to EMS reports, complete shipping documents, and verify sales orders against purchase orders.
• Order tickets for EDI customers each season and upload UPCs into the GXS catalog.
• Assist Account Executives with administrative tasks such as adding imagery to sales reports, creating line sheets and preparing account presentations.
• Prepare copy templates with EAN codes, pricing and composition details for buyer needs.

Required profile

• 1‑3 years of customer service experience, preferably in wholesale, specialty or drop‑ship environments.
• Bachelor’s degree in business or related field, or equivalent work experience.
• Strong interpersonal, communication and organizational skills.
• Ability to prioritize workload in a fast‑paced, multi‑tasking environment.
• Problem‑solver mindset with a focus on customer satisfaction.

Required skills

• Familiarity with NetSuite.
• Experience with GXS Catalog.
• Proficiency in Microsoft Excel.
• Proficiency in Microsoft Office suite.
