Transcripts Clerk – Remote (US)

About the role

Foley & Mansfield is seeking a detail‑oriented Transcripts Clerk to support its California litigation team. This fully remote position serves the Monrovia/Pasadena office and requires strong organizational skills to manage deposition transcripts in a fast‑paced environment.

Key responsibilities

• Monitor firm calendars for upcoming and completed depositions.
• Coordinate with attorneys and legal assistants to confirm deposition details and ensure transcript orders are placed on time.
• Order standard, expedited, or rough‑draft transcripts from court reporting agencies based on case deadlines.
• Maintain vendor relationships, track deliveries, and verify transcript completeness.
• Process court reporter invoices, code them to the appropriate client/matter, and resolve billing discrepancies.
• Save finalized transcripts to the firm’s document management system using established naming conventions.
• Retrieve and distribute previously filed transcripts upon request.
• Maintain the master deposition and transcript tracking log and generate reports as needed.

Required profile

• Minimum 2 years of experience in a law firm, legal department, or deposition scheduling.
• Strong attention to detail and ability to manage multiple deadlines.
• Professional communication skills and discretion with confidential information.

Required skills

• Proficiency in Microsoft Office Suite.
• Familiarity with document management systems such as iManage or NetDocs.
