Reservations Coordinator (Remote)

About the role

Callicoon Hills, a boutique hotel and event venue in the Catskills, is seeking a remote Reservations Coordinator. You will be the engine that keeps all reservation activities running smoothly, from individual guest inquiries to complex group bookings for weddings and corporate retreats.

Key responsibilities

• Manage day‑to‑day reservations: new bookings, modifications, cancellations, confirmations, and guest inquiries.
• Coordinate group room blocks, maintain guest lists, and handle rooming list updates.
• Process refunds, billing adjustments, and reservation corrections with professionalism.
• Support lodging logistics for on‑property events such as weddings, corporate groups, and retreats.
• Act as a communication bridge between remote reservation activity and the on‑site team, ensuring arrival notes and special requests are captured.
• Maintain accurate records in the hotel’s reservation and property management systems.
• Send pre‑arrival communications and troubleshoot reservation issues proactively.

Required profile

• Hands‑on hospitality experience, preferably in boutique hotels, resorts, or independent properties.
• Familiarity with group room blocks, event lodging, or wedding/retreat coordination.
• Ability to work independently in a remote setting while staying closely connected to an on‑site team.
• Strong written communication with a polished, guest‑facing tone.
• Highly organized, detail‑oriented, and able to juggle multiple requests simultaneously.
• Calm under pressure, flexible, and genuinely team‑oriented.

Required skills

• Experience with Mews property management system.
