Reservations Coordinator

About the role

We are seeking a Reservations Coordinator to manage all aspects of guest bookings for Callicoon Hills, a boutique hotel and event venue in the Catskills. This fully remote position supports individual reservations, group room blocks, and lodging for weddings and corporate retreats, ensuring a seamless guest experience.

Key responsibilities

• Handle day‑to‑day reservation tasks including new bookings, modifications, cancellations, confirmations and guest inquiries.
• Set up and manage group room blocks from initial setup through cut‑off, maintaining guest lists and rooming lists.
• Process refund requests, billing adjustments and reservation corrections accurately.
• Coordinate lodging logistics for on‑property events such as weddings, corporate groups and retreats.
• Act as the communication bridge between remote reservation activity and the on‑site team, relaying arrival notes, special requests and event details.
• Maintain clean, accurate records in the hotel’s reservation and property‑management systems.
• Send pre‑arrival communications and follow‑ups to guests.
• Troubleshoot reservation issues proactively with a service‑first approach.

Required profile

• Hands‑on hospitality experience, preferably in boutique hotels, resorts or independent properties.
• Familiarity with group room blocks, event lodging or wedding/retreat coordination.
• Ability to work independently in a remote setting while staying closely connected to an on‑site team.
• Strong written communication with a polished, professional guest‑facing tone.
• Highly organized, detail‑oriented and able to juggle multiple requests without losing track.
• Calm under pressure, flexible and genuinely team‑oriented.
