Recruiting Operations Coordinator

About the role

We are looking for a Recruiting Operations Coordinator to help build a best‑in‑class recruiting engine as we scale. This coordination‑heavy role goes beyond scheduling; you will own and continuously improve the systems, processes, documentation, and tooling that keep the recruiting team organized and moving forward.

Key responsibilities

• Maintain data integrity across our ATS (Ashby) and recruiting tools, performing regular audits.
• Track interview feedback completion and ensure service‑level agreements are met.
• Keep recruiting documentation and Slack channels up to date.
• Analyze key recruiting metrics (time‑to‑fill, interview‑to‑offer ratio, source effectiveness) and provide data‑driven recommendations.
• Identify process gaps and propose improvements.
• Own end‑to‑end interview scheduling across candidates, hiring managers, and interviewers, handling conflicts, logistics, and candidate experience.
• Coordinate interview logistics, including travel, expenses, room setup, and technical support.
• Serve as primary point of contact for candidates from screening through offer, communicating professionally and promptly.

Required profile

• Based in San Francisco and able to work onsite five days a week.
• 2+ years of experience as a Recruiting Coordinator or similar role, with a proven ability to work independently.
• Prior experience in a SaaS or tech‑startup environment is strongly preferred.
• Comfortable in fast‑moving, ambiguous environments where priorities shift.
• Strong interpersonal skills and the ability to build trust quickly with hiring managers, candidates, and cross‑functional partners.
