Program Coordinator, Events & Communications

About the role

xFoundry, an initiative of the University of Maryland, is looking for a Program Coordinator to lead the planning and execution of the April 2027 NEXPLORE summit and related events. The role combines event logistics with communications support, ensuring smooth speaker and guest experiences and high‑quality event materials.

Key responsibilities

• Oversee all logistics for the NEXPLORE summit, including venue, contracts, and timelines.
• Maintain accurate trackers for speakers, guests, partners, and attendees.
• Coordinate invitations, confirmations, scheduling, and pre‑event meetings.
• Collect speaker bios, headshots, presentations, and travel arrangements.
• Serve as the daily liaison among internal teams, speakers, vendors, and production staff.
• Identify and resolve missing information or potential issues promptly.
• Prepare white‑glove communications and partner assets.
• Support additional partner‑facing events and update program materials.

Required profile

• Proven experience in fast‑moving event coordination environments.
• Strong organizational skills with the ability to manage multiple workstreams.
• Excellent judgment and follow‑through to completion.
• Ability to communicate clearly with diverse stakeholders.
