Payroll Specialist – Multi-State & Union Payroll

About the role

The Payroll Specialist will support the Payroll Manager in processing payroll for a multi‑state, multi‑union organization of roughly 1,300 employees across five legal entities. This role requires familiarity with collective bargaining agreements and a solid understanding of federal, state, local, and union payroll regulations.

Key responsibilities

• Review payroll data for accuracy, focusing on multi‑state and union‑specific issues.
• Assist the Payroll Manager with weekly/bimonthly payroll processing for approximately 1,300 employees.
• Ensure compliance with payroll laws, union agreements, and company policies.
• Answer employee payroll questions promptly and accurately.
• Set up new hires, process terminations, and manage layoff checks.
• Prepare and file payroll‑related reports, including taxes, deductions, union reporting, and garnishments.
• Submit monthly workers’ compensation reports and reconcile annual audits.
• Address payroll discrepancies and resolve inquiries.
• Stay updated on payroll regulations and maintain compliance.
• Assist with certified payroll report preparation and job setup reviews.

Required profile

• High school diploma or GED required; associate degree preferred.
• Minimum five years of payroll experience, preferably in a union environment.
• Experience with multi‑state and union payroll processing.
• Strong organizational, detail‑oriented, and problem‑solving abilities.
• Excellent communication and customer‑service mindset.

Required skills

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Project, PowerPoint).
• Experience with payroll software; familiarity with COINS ERP system is a plus.
