Order Entry Specialist

About the role

As an Order Entry Specialist you will be the backbone of our service and parts delivery process. You will ensure that every order is created accurately, documented correctly and moves smoothly from initiation to completion, supporting a positive customer experience.

Key responsibilities

• Create and process orders in OneCRM, One4AL, OneService, ServiceNow and other systems until the migration to Dynamics 365 is complete.
• Cross‑verify order structure against purchase orders and approved quotes to guarantee 100% consistency.
• Validate documentation, scope codes, approvals, labor/service estimates and parts availability before entry.
• Align order structure with billing, shipping, service and contract requirements.
• Confirm correct shipping instructions, logistics costs and warehouse codes for AMDC/DC orders.
• Validate ATS‑recommended parts or replacements for compliance and traceability.
• Maintain order data integrity and keep the documentation backlog accurate.
• Identify recurring upstream data issues and escalate them to the manager.

Required profile

• Associate’s degree in business administration or a related field.
• 2–4 years of experience in order processing, operations administration or ERP data management.
• Background in administrative support, operations coordination, customer service or data management.
• Comfort working with ERP or business information systems.
• Strong organizational skills and meticulous attention to documentation.
• Detail‑oriented problem‑solver able to validate data across systems.
• Familiarity with order fulfillment workflows and cross‑department collaboration.
