Office Manager – Headquarters Operations

About the role

We are seeking a highly organized and proactive Office Manager to keep our headquarters running smoothly. Reporting to the leadership team, you will support daily office operations, coordinate administrative processes, and ensure our team has the resources and structure needed for efficient work.

Key responsibilities

• Schedule meetings, appointments, weekly office lunches and events such as holiday parties.
• Maintain file systems and coordinate travel arrangements for vendors and staff.
• Oversee office equipment (copiers, vending machines), identify needs and procure supplies.
• Assist with desk setup, onboarding and workspace preparation for new employees.
• Provide basic computer setup, IT support and troubleshooting.
• Manage space planning, including moves, additions and workstation changes.
• Ensure intra‑office communication protocols are in place and keep management informed.
• Take inventory of office supplies, snacks and kitchen items and reorder as needed.
• Coordinate facilities maintenance, cleaning, decorating and contractor negotiations.
• Monitor health and safety standards across the office.
