About the role

The Office Assistant provides essential administrative support to a school’s main office, ensuring smooth daily operations. This fixed‑term position (one‑year duration) involves handling inquiries, managing records, and assisting staff and students.

Key responsibilities

• Answer telephone calls and greet visitors, directing them to appropriate personnel.
• Prepare and distribute correspondence, reports, and form letters.
• Maintain and update files, records, logs, and attendance information.
• Process incoming and outgoing mail and manage supply orders.
• Schedule appointments, meetings, and maintain calendars as needed.
• Provide backup support for clinic room duties, student services, and library assistance.
• Assist with student attendance tracking, pass issuance, and communication with families.
• Support classroom coverage coordination and substitute services.

Required profile

• High school diploma or GED equivalent; some experience in office administration or customer service.
• Ability to maintain confidentiality and handle sensitive information.
• Strong oral and written communication skills.
• Capacity to work effectively with culturally diverse students, families, staff, and community members.
